How to collect money for pickup soccer without chasing Venmos

Almost every recurring pickup game has one person quietly acting as its bank. They put the pitch on their card on Monday, often a hundred and sixty dollars for the hour, and spend the rest of the week collecting it back ten dollars at a time. Someone always forgets, someone drops out after you've already paid, and by Sunday you're the person sending the awkward "hey, for last week…" text. This guide is about making the money side as automatic as the RSVPs.

The real cost of "just Venmo me"

"Just Venmo me" sounds frictionless and isn't. It moves all the accounting into your head: who paid, who half-paid, who owes for two weeks, who dropped out after you booked. The friction doesn't disappear. It lands on the one person least able to walk away from it, because they're the one who fronted the field. Over a season that quiet resentment is what burns organizers out, more than the booking or the team-splitting ever does.

The fix isn't a spreadsheet. It's making the fee part of the game itself, so the amount, the due date, and who's paid are attached to the RSVP instead of living in your memory and your bank feed.

Decide who pays, and when

Set a single per-player fee on the game (the pitch cost split by your cap) and make it visible before anyone commits. When the fee shows on the same page as the kickoff time and the spots remaining, nobody is surprised, and the price quietly does some of your capacity work: people think twice before RSVPing to a game they might skip.

Then pick your culture. Some groups prepay to lock commitment; some pay cash at the field because that's how the group has always run. Good tooling should support both rather than force one: a fee due before the game for the prepay crowd, or simply tracked at the game for the cash crowd.

Three ways to collect, from cash to card

The lightest option is a tracked ledger: you keep taking cash or whatever you already accept, and just mark each player paid on the roster. The enforcement option is card payments through Stripe. Let the money follow commitment, not attendance

The detail that makes card collection humane is when the charge lands. A player's card is authorized when they RSVP but only captured at kickoff. Drop before the game's cutoff and the hold is simply released: no charge, no refund fees, nothing to reverse. That means the money tracks the commitment (you said you were coming and the spot was yours) without punishing someone who played but forgot to tap check-in.

Guests ride the same rail. When someone brings a +1 to a paid game, the guest's fee is added to the bringer's payment: one transaction, settled between friends offline, never a second stranger you have to collect from at the field.

Keep it optional: most games should stay free

None of this should make free pickup feel like a paywall. Fees are per-game and opt-in: a game with no fee behaves exactly as it always has, and plenty of groups will only ever charge for the weeks they rent a pitch. The point isn't to monetize your friends. It's that on the weeks money does change hands, you stop being the group's unpaid accounts department.
